Use of website and services "Terms and Conditions and Privacy Policy" (The legal stuff)

We take all reasonable steps to protect your information.  References to in these terms and conditions and privacy policy refer to GTA-Notary, a Sole Proprietorship registered in Ontario.

Securing your personal information is very important to us. This policy/terms and conditions explains what we will do to secure your information and disclose the limitations of doing so.

The use of services are governed by this Privacy Policy/Terms of Service.   

Your Privacy:

PIPEDA (Personal Information Protection and Electronic Documents Act) governs our use of your information. complies with these legal obligations. Please click here for the Government of Canada website regarding PIPEDA

Information collected and why we collect it: provides notarization and commissioning services to the public and in doing so, we are required to identify our customers.  You will be required to provide your first and last name, your telephone number, and email address. We collect this information to ensure we have a way to contact you in the event of a privacy breach or other matter concerning your documents.

This is how it works:

A. We will scan a copy of your government issued photo identification.

B. We will scan a copy of your notarized documents.

C. We will scan a copy of your signed service agreement with us.

This information will be held securely using cloud storage. We will keep your personal information for three years. At the end of three years, We will delete your scanned government ID and notarized documents.  We will keep your signed agreement on file for at least 10  years. 


We do not provide legal advice, or draft documents on behalf of a customer. Our services are limited to the notarization of documents, administering oaths, affirmations and solemn declarations, certification of true copies of documents and the witnessing of agreements.


We can refer you to Leonard Howell Legal Services for assistance with drafting documents if the service falls under the scope of practice of a licensed paralegal in Ontario.  

Service by written agreement only:

We will ask you to sign a service agreement which will include you authorizing us to collect and keep certain pieces of private and confidential information about you.  

Use of Your Information:

You can request a copy of your information we have on file at no extra cost to you while in attendance at our office.  Said files will be sent via email which is not secure. You will be asked to provide written acknowledgement that email is not a secure means of communication which may be susceptible to hacking or other interception.  

We will not market our services with your information or sell it to third parties. We will email you in the event of a security breach and/or third-party request for your documents.  

Disclosure of your Personal Information: will disclose your personal information:

A. If required to do so by law

B. When you have consented to the disclosure.
We will only release your information if compelled by law. In the event that a legal request is made, we will inform you as expeditiously as possible by email. You must ensure that you update your information with us if it changes otherwise we may not be able to advise you.

 Although we will make every attempt to secure your information, if your information is hacked or stolen in any way from us, damages shall be limited to $100.00 CAD.


You acknowledge that email technology has security risks and agree to receive information by email if you so indicate on your service agreement.

Requests for your file:

After your transaction is complete  you may contact our office for a copy of your file at a nominal fee.

Several types of documents can now be processed online, so there is no need to leave the safety and comfort of your living room! These types of appointments involve a quick ZOOM meeting and electronically signed documents and you're done. This means appointments can be at any time of the day, any day of the week and even on the same day as you contact us!

How does it work?
1. First, book a 30 minute video appointment by clicking on the button below.

2. Have your government-issued photo identification ready (we will screen capture you holding your ID)

3.Don't sign anything until you are on the video call- we need to see you sign.

4.Have a scanner ready (or use a scanner phone app, or take a picture of your document).

4. At the time of your appointment, click on the link received by email to start the ZOOM call.

5. By video, we'll verify your identity and signature, watch you sign the document, and have you scan and send it to us.  Note: We will need to identify any third - parties in the room also, so it is preferable that there are not any.

6. Upon receiving your document, which will typically be very quick, we'll notarize it.

7. You'll receive your notarized document by email immediately. We'll send the original version in the mail on the same day.
